Privacy Notice

Last updated: 22 October 2026

This notice explains how OilExpertise collects and uses personal data when you visit oilexpertise.com, use our tools, contact us, or when we contact professionals at automotive-sector companies about our lubricants consultancy services. If we have contacted you by email, this is the information notice we provide when we first contact you.

1. Who we are

The data controller is OilExpertise, an independent automotive lubricants consultancy run by Vinay Dmello, based in France.

2. What data we collect
  • Business contact details: name, job title or role, company, professional email address and, where available, professional phone number and LinkedIn profile URL.

  • Data you send us: information you provide through the contact form on oilexpertise.com or by email (for example your message and contact details).

  • Fleet TCO Calculator report requests: if you use the "Email my report" form on oilexpertise.com/tools, your email address and the calculator inputs and results sent with it.

  • Intro call bookings: if you book an intro call through our Calendly page (calendly.com/oilexpertise/15min), your name, email address, phone number if you give it, the time you choose and any notes you enter.

  • Correspondence history: our emails with you, including replies and any request to stop receiving messages.

  • Website usage data: if you accept analytics cookies, information about how you use the site (see section 11).

We do not collect sensitive data, and we do not need it.

3. Where we get your data

Most data comes directly from you (forms, emails, the calculator, call bookings). If you have not contacted us yourself, we obtained your business contact details from publicly available professional sources, such as your company's website and LinkedIn. We only use data related to your professional role.

4. Why we use your data and on what legal basis
  • Offering our lubricants consultancy services to automotive-sector companies by professional email (B2B prospecting): Our legitimate interest in developing our business (Art. 6(1)(f))

  • Sending the Fleet TCO Calculator report you request: Your consent and steps taken at your request before entering into a contract (Art. 6(1)(a) and (b))

  • A limited follow-up after a report request, with an easy opt-out in every message: Our legitimate interest in following up on your interest in our services (Art. 6(1)(f))

  • Replying to your enquiries and requests: Steps taken at your request before entering into a contract (Art. 6(1)(b)), or our legitimate interest in answering you (Art. 6(1)(f))

  • Scheduling and holding an intro call you book through Calendly: Steps taken at your request before entering into a contract (Art. 6(1)(b)) and our legitimate interest in organising and holding the call (Art. 6(1)(f))

  • Managing our relationship with clients (quotes, projects, invoicing): Performance of a contract (Art. 6(1)(b))

  • Keeping accounting records: Legal obligation (Art. 6(1)(c))

  • Website analytics (Amplitude, through our website platform): Your consent, given through the cookie banner (Art. 6(1)(a) GDPR and Art. 82 of the French Data Protection Act)

  • Keeping a list of people who asked not to be contacted: Our legitimate interest in respecting your objection (Art. 6(1)(f))

In line with the guidance of the CNIL (the French data protection authority), we only send prospecting emails to professional addresses and only about subjects related to the recipient's role. Every email includes a simple way to opt out. You can withdraw your consent at any time; this does not affect processing carried out before the withdrawal.

5. How long we keep your data
  • Prospects: 3 years from collection or from your last contact with us (for example, a reply), after which the data is deleted.

  • Report requests (Fleet TCO Calculator): 3 years from your last contact with us, in line with CNIL guidance on prospects, after which the data is deleted.

  • Clients: for the duration of our business relationship, plus 3 years.

  • Accounting documents: 10 years, as required by the French Commercial Code.

  • Intro call bookings: 3 years from your last contact with us, in line with our retention for enquiries, after which the data is deleted.

  • Opt-out list: if you object to being contacted, we keep only the minimum data needed (such as your email address) so that we do not contact you again.

6. Who has access to your data

Your data is used only by OilExpertise. We do not sell or rent personal data. We use the following service providers, who act on our behalf and under our instructions:

  • Hostinger: website hosting and email.

  • Google: Gmail / Google Workspace (email and office tools).

  • Amplitude (Amplitude, Inc.): website analytics used through our website platform, only with your consent.

  • Supabase (Supabase Inc.): database and edge functions hosting the endpoint of the "Email my report" form on oilexpertise.com/tools.

We may also disclose data where required by law (for example, to tax authorities).

7. Transfers outside the European Union

Some of our providers, in particular Google, Amplitude, Supabase and Calendly, and possibly Hostinger or their sub-processors, may process data outside the European Economic Area, including in the United States. Where this happens, the transfers are covered by appropriate safeguards: the European Commission's Standard Contractual Clauses and, for certified companies, the EU-US Data Privacy Framework, as set out in those providers' data protection terms. You can contact us for more information or a copy of these safeguards.

8. Your rights

You have the right to:

  • access your data and receive a copy;

  • have inaccurate data corrected (rectification);

  • have your data erased;

  • object to the use of your data, including at any time and without giving a reason, to prospecting;

  • ask us to restrict the use of your data;

  • receive your data in a portable format (portability), where applicable;

  • withdraw your consent at any time, where we rely on consent;

  • give instructions on what happens to your data after your death.

To exercise any of these rights, write to info@oilexpertise.com. We will reply within one month. We may ask you to confirm your identity if we have reasonable doubts.

9. How to stop receiving our emails

Simply reply "unsubscribe" or "stop" to any of our emails, or write to info@oilexpertise.com. We will stop contacting you and add you to our opt-out list. No reason is needed.

10. Right to complain

If you believe your data is not handled correctly, you can lodge a complaint with the CNIL: https://www.cnil.fr/en/complaints, 3 Place de Fontenoy, TSA 80715, 75334 Paris Cedex 07, France. We would appreciate the chance to address your concern first.

11. Cookies

oilexpertise.com is built and hosted with Hostinger's website builder. We use the following cookies and similar technologies:

  • Strictly necessary: technical cookies and checks needed for the site to work and stay secure (for example, bot protection by our hosting provider). They do not require your consent.

  • Amplitude (Amplitude, Inc.): analytics of how the site is used, through our website platform. It is used only after you accept cookies through the cookie banner.

  • YouTube (Google): the video on oilexpertise.com/tools is embedded in YouTube's privacy-enhanced mode; YouTube may set cookies once you play the video, as described in Google's privacy policy (policies.google.com/privacy).

  • Calendly (Calendly LLC): if you open our booking page (calendly.com/oilexpertise/15min), Calendly may set its own cookies, as described in Calendly's privacy and cookie notices.

When you first visit oilexpertise.com, a cookie banner asks for your consent before any analytics cookie is placed. Refusing is as easy as accepting, and refusing does not affect your use of the site. You can withdraw or change your consent at any time through the cookie settings or by clearing the oilexpertise.com cookies in your browser (the banner will then appear again). You can also block cookies in your browser. If we add other analytics tools in future, they will only run after you give your consent, and we will update this notice.

12. Security

We take reasonable technical and organisational measures to protect your data, including access restricted to OilExpertise, password-protected accounts and reputable providers.

13. No automated decision-making

We do not make decisions about you based solely on automated processing, and we do not carry out profiling with legal or similarly significant effects.

14. Changes to this notice

We may update this notice from time to time. The latest version is always available at oilexpertise.com/privacy, with the date of the last update shown at the top.
